Job Description  

The Department Administrator provides support to our Global Procurement organization. 

Responsibilites include, but are not limited to:

  • Supports the SVP of Procurement in maximizing department productivity. 
  • Ensures that staff meetings are coordinated and content and agenda is  completed and disseminated.
  • Project Coordinator for significant departmental led projects; maintaining timelines and meeting minutes; ensuring follow up and management of commitments.
  • Owns the maintenance and upkeep of the department Intranet and SharePoint sites.
  • Compiles data to create and edit PowerPoint, Visio and Excel projects. 
  • Supports Supplier Management Office in all administrative tasks including running of monthly reports, and adding new suppliers to Global Risk Management and Oracle systems.
  • Supplier onboarding, managing the day to day activity of the Supplier Management process.
  • Handles details for maintenance of office functions, such as ordering supplies and services, processing expense reports, and filing.
  • Assisting with complex correspondence and reports.
  • Supports other team members as needed.

Qualifications  
  • 5+ years of experience supporting a senior level Executive.
  • Must have worked within a large sized matrix organizational structure.
  • Bachelor’s Degree preferred.
  • Strong skills in Microsoft Excel, PowerPoint and Word  
  • Proven analytical skills (e.g. data analysis, business processes)
  • Demonstrated success in a customer-service oriented capacity with stakeholders 
  • Strong written and verbal communication skills.
  • Must have ability to multitask in a fast-paced environment working with all levels of staff and management.
