The Nature's Bounty Co. has an amazing Executive Assistant opportunity! This role will support our C-Suite Executive Leaders providing best-in-class executive support.  This position will own tasks and responsibilities critical to ensuring smooth and seamless business processes.  The Executive Assistant will manage calendar maintenance, T&E administration, and correspondence containing sensitive information requiring a considerable use of tact, professionalism, discretion and judgment.  Candidates will have expertise in supporting C-Suite Leaders with a high sense of urgency and agility.

Responsibilities include, but are note limited to:

  • Calendar:  Heavy calendar management for complex meeting scheduling with ownership on conference room and IT logistics, food & beverage, and related correspondence to all participants
  • T&E:  Compilation of documents for domestic and international travel; expense reimbursement activities, and itinerary management
  • Correspondence & Office Support:  Prepares communication materials and screening of inbound phone calls using sound judgement.  Arrange conference calls and own the related correspondence to all participants.
  • Creates and maintains department organization charts using PowerPoint and related software
  • Office Management: Liaison between various building & facility contacts 
  • Organize and track purchase orders in iBuy, monitoring and maintaining office supply inventory
  • Purchase & maintain office library
  • Other duties as assigned including tasks outside of standard EA scope
     

Job Requirements

  • 10+ years supporting C-Suite Executive Leadership at a Fortune 100+ Global Organization
  • Highly skilled in MS Office Suite with an emphasis on Outlook, Advanced Excel, and PowerPoint
  •  Excellent written and verbal communication skills with ability to convey concise information to C-Suite Leaders
  • Demonstrated experience handling confidential business information with discretion
  • Strong ability to navigate internal processes to identify solutions and resources quickly, prioritization of tasks and diplomatic & transparent time management communication
  •  BA/BS degree required
  • Positive and proactive flexibility to work on additional tasks as it relates to C-Suite needs
  • Experience working with C-Suite Leaders in multiple offices managing heavy travel itinerary management
