The Accounts Receivable Deductions Manager is a key member of the accounting team who leads the deductions management process and department.  This role will be responsible for ensuring the Company is managing customer claims and conducting deductions investigation, research and analysis effectively and efficiently.

Additional responsibilities include:

  • Minimizing the amount of time customer deductions remain open by ensuring quick and thorough research of customer claims to determine their validity and taking the necessary steps to clear deductions via credit or customer repayment.
  • Drive improvement and efficiencies in the deductions management process. 
  • Lead the deductions management team of seven coordinators.
  • Conduct a thorough review of existing department including, people, process and systems.
  • Lead project to improve current operating model for deductions management, including: driving process standardization, implementing key metrics for improved tracking and visibility of process performance, implementation of standard practices by deduction type, comprehensive training of all tools to upskill team and ensure proficient use of tools.
  • Analyze trends, quantify cost/benefits and implement necessary policy changes.
  • Manage complex and high volume related deductions portfolio to ensure efficient operations and the highest level of customer service.
  • Identify high-risk accounts and implement processes to ensure accuracy of deductions taken.
  • Develop and maintain processes for appropriate investigation of deductions, including identification and resolution of inappropriate deductions.
  • Coordinate and communicate with Sales and Trade Teams to ensure timely, accurate and smooth processes, transaction recording and customer reconciliation support.
  • Communicate with customers to collect on invalid chargebacks (i.e. price discrepancies, traffic violations, excessive discounts, shortages, EDI related violations, etc.) by contacting account and providing backup documentation to prove why the charge is invalid.
  • Establish departmental and individuals goals supporting company financial objectives and initiatives, and provide formal and informal feedback to team members.
  • Prioritize, manage workload and function efficiently in a dynamic environment.
  • Establish a culture of continuous improvement.

Job Requirements

  • 5+ years of experience in AR/ deduction management with previous managerial experience.
  • Strong analytical skills (ability to define problems, collect data, establish facts, draw valid conclusions and find solutions).
  • Expert level knowledge in accounting rules and regulations and in the application of those rules and regulations to a wide range of business activities.
  • Experience in leading and personally driving change and implementing best practices.
  • Strong communication skills; able to convey a message that is clear and concise linking business issues, financial results and strategy.
  • Must be proficient in Microsoft Excel (particularly Pivot tables and V Look ups), Word and Outlook.
  • Excellent time management, strong organizational and follow up skills, and attention to details.
  • Ability to be a key leader in a dynamic, data-focused organization.
  • Highly resourceful and very strong problem solving and analytical skills.
  • Experience with AS400, Oracle Accounting systems a plus.
